Guidelines for Participants

Convention Guidelines

As part of the 11th SPIC MACAY International Convention at IIT Kharagpur (25 May - 31 May, 2026), we aim to create an ashram-like environment where participants can connect with their inner selves through a week of learning and spiritual experience in the presence of Gurus. To ensure that everyone benefits from this experience, we request participants to adhere to the following guidelines.

Pre-Arrival

Before You Arrive

Orientation Session

All delegates must attend one orientation session prior to arrival (slots announced on email/registration website)

Dress Code

Wear simple, modest, comfortable Indian/ethnic attire (e.g., kurta-pyjama, salwar-kameez, sari). Avoid flashy designs

Valuables

Carry minimal valuables. The organizers are not responsible for loss/damage of personal items

Water Bottle

Please carry a refillable water bottle and use the water stations provided to refill

Accommodation & Campus

Campus Rules

Rooms/hostels are pre-allotted; please do not request changes unless there is a genuine need. Accommodation is gender-segregated.

No entry into hostels/rooms other than your own. Respect restricted zones and comply with campus and security advisories.

Campus stay: You must remain on campus for the entire duration of the convention after registering on the day of arrival at IIT Kharagpur.

Mobile Phone & Device Policy

Important - Please read carefully

  • You must deposit your mobile phone(s) with the organizers at registration and must not use them during the convention. Phones will be returned only on the last day.
  • For emergencies, you can use the phones of designated volunteers.
  • In addition to mobile phones, you must deposit and must not use all digital devices, including cameras, tablets, laptops.
  • If you use a mobile phone during the convention, SPIC MACAY volunteers have the right to confiscate it; it will be returned only on the last day.
Schedule & Sessions

Daily Schedule

Intensive sessions: You must continue with your assigned intensive for all five days and must not request a change.

Schedule adherence: You must follow the schedule provided at registration and attend all sessions from 4:00 AM to 9:30 PM every day, on time, without skipping any part of the program.

Please be on time for all sessions - entering/exiting mid-performance is NOT allowed.

Quiet hours and lights-out: You must maintain silence after 9:30 PM and observe lights-out.

Sustainability

Food & Resources

No Wastage

You must not waste food, water, or electricity.

Food Guidelines

You must consume only the holistic food provided by SPIC MACAY and must eat only within designated areas.

Cleanliness

Keep your accommodation and campus surroundings clean and return them in better condition than you received them.

Waste Disposal

Dispose of waste in the marked dry/wet/biodegradable bins and must not litter.

Code of Conduct

Behavior & Etiquette

Zero tolerance for harassment: You must treat everyone (Gurus, participants, teachers, staff, volunteers) with respect. Harassment, bullying, discrimination, or disruptive behavior is not permitted.

Strictly no tobacco, alcohol, drugs, vaping, or intoxicants on or off campus during the Convention.

Etiquette with Gurus: You must maintain decorum - no selfies/autographs, no unsolicited recordings.

SPIC MACAY reserves the right to ask you to leave the convention if you fail to comply with these guidelines or if your behavior disrupts the objectives of the convention.
