Terms & Conditions

By registering for the 11th International Convention organized by SPIC MACAY at IIT Kharagpur (25th May - 31st May, 2026), you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, you should not proceed with the registration.

The convention is open to students, teachers, and individuals who meet the registration criteria specified on the registration portal. Participants must provide accurate and complete information during registration. False or misleading information may result in cancellation of registration.

• There are no registration fees. Participants are required to submit a security cheque at the time of submitting their travel details.
• The cheque will be lapsed (not encashed) if the participant successfully attends and completes the convention.
• If a participant fails to attend the convention without prior intimation, the cheque may be encashed.

• All participants must adhere to the ashram-like environment and discipline expected during the convention.
• Electronic gadgets including mobile phones, cameras, and laptops will be collected at the time of registration and returned when participants depart.
• Outside food, alcohol, drugs, and tobacco are strictly prohibited.
• Participants must attend all scheduled programs unless excused by the organizing committee.
• Leaving the venue during the convention without prior permission is not allowed.

Accommodation will be provided on a shared basis within the IIT Kharagpur campus. Participants are expected to maintain cleanliness and take care of the facilities provided. SPIC MACAY is not responsible for loss or damage to personal belongings.

• Participants are responsible for arranging their own travel to and from Kharagpur.
• Pickup services will be provided only from designated stations as mentioned in the Travel Guidelines.
• Participants must arrive within the specified arrival window and depart within the specified departure window.

By participating in the convention, you consent to being photographed and recorded. These images and recordings may be used by SPIC MACAY for promotional, educational, and documentary purposes.

SPIC MACAY and IIT Kharagpur shall not be liable for any injury, loss, damage, or expense arising from participation in the convention. Participants are advised to have appropriate travel and health insurance.

SPIC MACAY reserves the right to modify the convention schedule, venue arrangements, and these Terms and Conditions at any time. Participants will be notified of significant changes through the registered contact details.

These Terms and Conditions are governed by the laws of India. Any disputes arising from these terms shall be subject to the jurisdiction of courts in Kharagpur, West Bengal.
